Come organizzare un meeting aziendale in inglese: i consigli WSE

La vita quotidiana in azienda, come sai bene, è fatta di frequenti riunioni. Se operi in un contesto internazionale, o hai a che fare con partner esteri, ti capiterà spesso di dover comunicare in inglese anche nelle fasi di organizzazione dei meeting.

Utilizzare un inglese impeccabile e le espressioni più frequenti ed efficaci in questo contesto è davvero indispensabile, per evitare incomprensioni e comunicare in modo chiaro e preciso i temi che saranno trattati. Oltretutto, la conoscenza della lingua ti permette di fare una buona impressione sugli interlocutori, che possono percepire di essere davanti ad un’organizzazione prestigiosa.

In questo articolo vogliamo guidarti alla scoperta della terminologia più adatta e delle frasi ricorrenti. Ricorda che ci muoviamo sempre nell’ambito del Business English, il linguaggio settoriale utilizzato tra i professionisti e in azienda, un patrimonio di terminologia e locuzioni che è sempre utile approfondire.

Come si dice riunione in inglese?

La domanda può sembrare scontata, ma non lo è! Prima di tutto, una precisazione fondamentale: la riunione in inglese si dice “meeting”. “Reunion” è un false friend: in italiano non si traduce infatti con “riunione” ma piuttosto con “rimpatriata”, descrivendo l’adunanza di un gruppo di persone che sono tra loro legate da qualche rapporto di associazionismo pregresso.

Nella vita d’ufficio, altri termini importanti sono:

  • briefing, che identifica la riunione per fornire informazioni e direttive
  • seminar, l’incontro con una persona autorevole in un determinato campo
  • brainstorming, assemblea di gruppo per far emergere idee volte alla risoluzione di un problema, in cui ci si basa normalmente sul flusso libero e creativo di idee

Utilizzare i verbi giusti

Ecco alcune frasi utili nel contesto delle riunioni: attenzione ai verbi utilizzati!

  • Convocare una riunione: to call/fix a meeting
  • Pianificare una riunione: to plan/arrange/set a meeting
  • Partecipare a una riunione: to attend a meeting
  • Presiedere una riunione: to chair a meeting
  • Rinviare una riunione: to reschedule/postpone a meeting
  • Cancellare una riunione: to cancel/call off a meeting
  • Concludere una riunione: to close/conclude a meeting

Convocare la riunione

Di seguito trovi tanti esempi di espressioni utili per convocare una riunione:

  • Next staff meeting is scheduled for Thursday 21st, at 12.00
  • Board of directors meeting is on Tuesday, the 1st.
  • I'm writing to you today to invite you to a meeting that I'd like to have to discuss some issues in our company that need addressing.
  • The meeting will be at 6:00 PM tomorrow
  • Dear Heads of Departments, We will be having our Annual Plan Meeting at (location, date and time) . One night of accommodation in the resort will be provided for you. Please RSVP so that we can make the necessary travel arrangements with you included.
  • Dear, Hereby, I would like to inform you that our monthly staff meeting will be held on (date) in (place). I have attached the agenda, but please feel free to add any items by replying to this email at least a day before our meeting. Make sure to be prepared and updated on your departments subjects. Should you not be able to join this meeting, please let us know and be sure to delegate important updates on your department to your colleague.
  • Would you kindly confirm your presence?
  • Please confirm whether you will be present
  • Tell me if that’s ok with you or you have any problems

Il reminder

È sempre consigliato includere, nella mail o nella comunicazione di convocazione, un sintetico reminder che riporti data, ora, location, durata stimata e scopo della riunione. È importante indicare anche chi vi parteciperà.

Ecco un semplice esempio di reminder che puoi prendere come modello:

STAFF MEETING

LOCATION: Room 3

DATE: Friday, May 5th

TIME: 2:00 PM-4:00 P.M.

FOR: Supervisors only

SUBJECT: Tourist Season

Please note that ATTENDANCE IS MANDATORY!

Agenda: per programmare la riunione

L’agenda è l’ordine del giorno, l’elenco dei temi da trattare all’interno della riunione. Può essere utile inoltrare l’ordine del giorno (to circulate the agenda) ai partecipanti in anticipo, perché possano prepararsi al meglio.

In questo contesto,

  • To draw up the agenda: stabilire l’ordine del giorno
  • To stick to the agenda: attenersi all’ordine del giorno
  • Point/item on the agenda: punto all’ordine del giorno

I ruoli

All’interno della riunione ci sono alcuni ruoli indispensabili. Prima di tutto la chairperson o meeting facilitator che è la persona che presiede l’incontro, che può essere affiancato da un co-chair (copresidente). Molto importante è anche il minute taker (o record taker), colui o colei che ha il compito di redigere il verbale (to take the minutes).

Imprevisti e cambiamenti

Succede spesso di dover cancellare o spostare una riunione, per i più disparati motivi. Ecco alcune espressioni utili per comunicare queste variazioni ai partecipanti, ricorda che è bene accennare alle motivazioni e scusarsi per l’inconveniente:

  • I regret to inform you that our meeting is canceled
  • I wonder if I might ask you to postpone the meeting to 4 o'clock on the same afternoon
  • With regret I am writing to inform you about the cancellation of the meeting which was arranged today at 11 am. Within this meeting the partnership and some new projects were to be discussed but unfortunately this slot was already allocated to another individual. Due to human error, you received the improper time. We really apologize for this and for any inconvenience it may have caused. The confirmed time for the meeting is 12 am on March 27th. We hope that you will make the required adjustments.
  • We are sorry to inform you that your meeting with the Ceo of … has been cancelled. Mr. … has to leave for personal reasons. We hope that you will understand and the meeting will be rescheduled as soon as he comes back. Thank you for your cooperation.
  • I am afraid I am obliged to change the date of our meeting, due to a problem with... I apologize for the inconvenience
  • Dear Team, I am writing to inform you that, due to an unforeseen situation, I have no other choice but to cancel our staff meeting scheduled for tomorrow at 11 AM regarding our Roadmap. My apologies for such a short notice and any inconvenience this might have caused.
